This is an ongoing, full-time position (8:00am - 4:00pm), commencing Monday, 2 March 2026 (or by negotiation).<br><br><strong>About the Role</strong><br><br> This essential role manages front office operations, encompassing both Student Services and Reception. You will be one of the welcoming faces of our school, creating a professional, supportive, and welcoming environment for all members of the College community.<br><br> We are seeking a strong team player to work collaboratively within the College administrative team, providing vital support to staff, students, and parents. The successful candidate will be key to the effective business administration of our school and must actively uphold our values and mission.<br><br><strong>Key Responsibilities</strong></p> <ul> <li>frontline support: serve as the primary point of contact for the College, managing telephone, email and in-person enquiries. Provide excellent customer service and maintain a helpful, professional, and cooperative approach with students, parents and staff</li> <li>administrative support: deliver high-level administrative management for the front office, effectively supporting the College Leadership team and teaching staff</li> <li>record management: maintain and update accurate records for all students (personal, medical, and attendance). Assist with enrolment processes and manage general office operations efficiently</li> <li>wellbeing &amp; first aid: provide immediate support to students, administering basic first aid and managing minor illnesses or injuries. Refer complex or ongoing cases professionally and efficiently to the appropriate Wellbeing staff</li> <li>pastoral care: offer empathetic and confidential support to students, ensuring timely and appropriate referral of complex issues to specialist pastoral care staff; School Counsellor, Leader of Wellbeing and Year Level Coordinators</li> <li>attendance &amp; communication: monitor student attendance daily, efficiently follow up on all absences, process student leave requests, and ensure effective communication with parents/guardians regarding attendance matters</li> <li>student information system (Compass): maintain and accurately update all student data and information within the Compass system</li> <li>event assistance: actively support the coordination of school excursions, events and student leadership initiatives</li> <li>logistics management: manage required event notifications via Compass and prepare essential medical requirements and first aid kits for all off-site activities and sports.</li> </ul> <p><strong>Essential Criteria</strong><br><br> We are looking for a highly organised individual with exceptional communication skills and a commitment to Catholic Education.</p> <ul> <li>proven experience in administration or professional support, ideally in a fast-paced setting</li> <li>exceptional interpersonal, written and verbal communication skills</li> <li>empathetic, patient and able to maintain strict confidentiality when dealing with students and sensitive information</li> <li>proactive, problem-solver and a collaborative team player aligned with school values</li> <li>highly organised with strong attention to detail, the ability to multitask and work to deadlines</li> <li>ability to work autonomously with minimal direction</li> <li>competent and confident in using a variety of software programs including Google platform, microsoft excel, and MS Office.
