<p>We are seeking an experienced and detail-oriented <strong>Fees Officer</strong> to join our Finance Team on a <strong>permanent part-time basis</strong>. This newly created role plays a key part in supporting the financial operations of the College by ensuring the accurate and timely billing, receipting, and management of all tuition and related charges.</p> <p>Working under the direction of the <strong>Finance Manager</strong>, and as part of a collaborative and supportive Finance Team, the Fees Officer is responsible for maintaining precise family records, coordinating invoicing processes, managing debtor accounts, and providing exceptional customer service to our College families. The role also contributes to daily reconciliations, audit preparation, and wider finance projects to support efficient and compliant financial operations.</p> <p><strong>Permanent part-time position, commencing Term 1, 2026.</strong></p> <p><strong>Working hours are 9:00am to 2:30pm, three days per week </strong><i><strong>(or by negotiation)</strong></i></p> <p><strong>Key Responsibilities</strong></p> <p><strong>Billing &amp; Invoicing</strong></p> <ul> <li>Accurately generate and distribute school fee invoices in line with the College’s billing schedule.</li> <li>Maintain accurate family records, including discounts, bursaries, scholarships, and adjustments.</li> <li>Manage and process ad hoc charges throughout the school year.</li> <li>Coordinate billing with the Enrolments team for new starters and student withdrawals.</li> <li>Respond to invoice-related enquiries in a timely, professional, and customer-focused manner.</li> </ul> <p><strong>Receipting &amp; Reconciliation</strong></p> <ul> <li>Process and reconcile daily incoming payments (EFTPOS, cash, BPoint, School EasyPay, Direct Debit, etc.), ensuring accurate allocation and settlement of funds.</li> <li>Complete banking administration, including deposit preparation and banking collection coordination.</li> <li>Process receipting and reconciliations for College tours, excursions, music tuition, and events.</li> </ul> <p><strong>Debtor Management</strong></p> <ul> <li>Monitor outstanding accounts and implement the College’s debt collection procedures, maintaining respectful, solution-focused communication with families.</li> <li>Maintain accurate debtor records and prepare reconciliations as required.</li> <li>Track and follow up payment plans; liaise with families to support sustainable payment arrangements.</li> <li>Escalate complex, sensitive, or overdue accounts to the Finance Manager or external collection/legal agencies where appropriate.</li> <li>Process concession applications for Finance Manager review.</li> <li>Produce and present regular debtor reports and ad-hoc summaries for management.</li> <li>Handle all financial hardship matters with sensitivity, confidentiality, and compassion.</li> <li>Support the Finance Manager in reviewing and enhancing debt management processes.</li> </ul> <p><strong>Finance Team Support</strong></p> <ul> <li>Assist with daily banking administration, queries, and reconciliations.</li> <li>Provide cross-functional support including data entry and transaction processing.</li> <li>Backfill other Finance Team functions during leave periods and peak operational times.</li> <li>Assist with year-end audit queries related to receipts, revenue and debtors.</li> <li>Contribute to continuous improvement initiatives across the Finance Team.</li> <li>Participate in finance projects and system upgrades as required.</li> <li>Undertake other duties consistent with skills, training, and experience.</li> </ul> <p><strong>Essential Criteria</strong></p> <ul> <li>A commitment to the Catholic ethos of a&nbsp;school in the Edmund Rice tradition.</li> <li>A commitment to maintaining appropriate behaviours and professional boundaries that reflect safeguarding values in practice.</li> <li>Australia Citizenship or Permanent Resident status.</li> <li>A minimum of 2 years' experience in accounts receivable, billing, or similar finance administration role.</li> <li>Strong understanding of invoicing, receipting, and debtor processes.</li> <li>High attention to detail, accuracy, and time management capability.</li> <li>Excellent written and verbal communication skills, with a customer-focused approach.</li> <li>Ability to manage sensitive and confidential information with discretion.</li> <li>Intermediate proficiency in Microsoft Excel.</li> <li>Initiative, independent thinking, and sound professional judgement.</li> </ul> <p><strong>Desirable Criteria</strong></p> <ul> <li>Accounting or Finance qualifications.</li> <li>Experience with finance or school management systems (Synergetic/Sentral/TASS/TechOne or similar).</li> </ul> <p>This role would suit a highly organised, adaptable, and proactive finance professional who thrives in a service-focused environment and enjoys contributing to a cohesive team.</p> <p><strong>How to apply</strong></p> <p>To express your interest in joining our highly motivated professional staff, apply via the online 'Career Application' available on our website&nbsp;<a href="https://www.spc.nsw.edu.au/working-spc/" rel="nofollow"><strong>Working at SPC | St Patrick's College Strathfield</strong></a></p> <p>Your application should consist of:</p> <p><strong>1.Cover letter</strong>&nbsp;(maximum 2 pages) that highlights your claim for the role and demonstrates your suitability.</p> <p><strong>2.Current CV</strong>&nbsp;(maximum 5 pages) outlining your qualifications, experience and skills together with the contact information for three (3) referees (at least two must be from your current employer).</p> <p><i>All applications should be addressed to The Principal (MS Word and PDF attachments are preferred)</i>.</p> <p>Evidence of a valid Working with Children Check (WWCC) clearance will be required prior to employment.</p> <p>Essential to this position is a commitment to the Catholic ethos of a School in the Edmund Rice tradition together with a commitment to the safety, wellbeing and dignity of all children and young people.&nbsp;</p> <p>St Patrick’s College is a child safe and child-centred organisation, committed to the protection of children and has zero-tolerance of any abuse of children.
