Administration Officer /ESIS

We are seeking a friendly and approachable Administration Officer to join our primary school team. The successful applicant will have excellent Microsoft Office skills, be quick to learn new systems and processes, and demonstrate strong organisational abilities. This role requires someone who can communicate effectively, work collaboratively as part of a team, build positive relationships with staff, students, and families, and contribute to the smooth and welcoming operation of our school.
<p><strong>Purpose of the Role</strong></p>
<p>The ESIS Officer provides high-quality administrative support to ensure the effective management of student information, enrolments, attendance, and compliance requirements in accordance with Catholic Education Melbourne (MACS) and school policies. This role also supports the smooth daily operation of the school office through general administration and reception duties.</p>
<p><strong>Key Responsibilities</strong></p>

<p><strong>1. Student Information Management</strong></p>
<ul>
<li>Enter, update, and maintain accurate student records in the ESIS system.</li>
<li>Prepare and submit reports for MACS, government agencies, and internal school use.</li>
<li>Manage data related to daily attendance roll, enrolments, student transfers, attendance, and wellbeing records.</li>
<li>Ensure compliance with legislative and policy requirements for record-keeping.</li>
</ul>
<p><strong>2. Synergetic School Management System </strong></p>
<ul>
<li>Operate and maintain synergetic and related database systems.</li>
<li>Provide basic support and troubleshooting for staff using ICON and ESIS functions.</li>
</ul>
<p><strong>3. General Office Duties</strong></p>
<ul>
<li>Respond to phone calls, emails, and in-person inquiries in a welcoming and professional manner.</li>
<li>Assist with reception duties, including managing visitor sign-in procedures.</li>
<li>Prepare correspondence, newsletters, and other school communications.</li>
<li>Provide administrative support for school events, excursions, and activities.</li>
<li>Undertake filing, photocopying, and stock ordering as required.</li>
</ul>
<p><strong>4. Collaboration & Support</strong></p>
<ul>
<li>Work closely with teaching staff, leadership, and the administration team to ensure efficient workflows.</li>
<li>Liaise with families regarding enrolments, student data, and attendance queries.</li>
<li>Maintain confidentiality and uphold the school’s Catholic values in all interactions.</li>
</ul>
<p><strong>Skills and Experience</strong></p>
<ul>
<li>Previous experience in a school administration role preferred.</li>
<li>Strong data entry skills with excellent attention to detail.</li>
<li>Proficiency in Microsoft Office Suite and school administration systems.</li>
<li>Knowledge of <strong>Synergetic </strong> and ESIS highly desirable.</li>
<li>Excellent organisational and time-management skills.</li>
<li>Strong communication and interpersonal skills.</li>
<li>Ability to work both independently and as part of a team.</li>
</ul>
<p><strong>Child Safety</strong></p>

<li>Hold a current Working With Children Check (WWCC).</li>
<li>Complete annual Child Safety training as required by MACS.</li>
<li>Adhere to the school’s Child Safety and Wellbeing Policy and Code of Conduct.</li>
</ul>
<p><strong>Conditions of Employment</strong></p>
<ul>
<li>Employment in accordance with the <i>Victorian Catholic Education Multi-Enterprise Agreement 2022 (VCEMEA)</i>.</li>
<li>Standard Category B Education Support Staff working hours.</li>
