<p><strong>Position Description/Salary and Benefits</strong></p><p>This administration position has a key role to play in the School at the operational level. The role is vital to the efficient and smooth running of the School on a day to day basis. The position reports to the Principal. Duties include processing in a comprehensive computerised administrative system for student records; purchase orders, banking, personnel records, office coordination, administrative services and a component of front reception duties.</p><p>This position is classified under the <i>Victorian Catholic Education Multi Enterprise Agreement </i>2018 as Education Support Salaries - Category B. Salary pro rata commensurate with relevant skills and experience. Superannuation contribution in accordance with Superannuation Guarantee Legislation is in addition to this salary payment. Annual leave  and professional working hours apply to this position and other conditions as per the <i>Victorian Catholic Education Multi Enterprise Agreement 2018.</i> </p><p><strong>Key Selection Criteria</strong></p><ol><li>Previous experience in administration, finance and client service; ideally in a Catholic School setting.</li><li>Well-developed organising, planning and coordination skills including the ability to prioritise tasks and to handle multiple demands effectively and efficiently. </li><li>High proficiency in Microsoft Office including Word, Excel and PowerPoint.</li><li>Excellent communication skills including: the capacity to communicate effectively at all levels with the CEM, teachers, principals, parish priests, schools and government departments; demonstrated ability to work as part of a team; excellent telephone manner.</li><li>High attention to detail and the ability to multitask; setting timelines and meeting deadlines.</li><li>Demonstrated ability to maintain confidentiality of sensitive confidential information.</li><li>A commitment to the ethos, values and mission of Catholic education. </li><li>Ability to work with ICON MACS Shared Services Centre daily to complete all tasks.</li><li>Ability to participate in ongoing professional development. </li></ol><p><strong>Qualifications, Skills &amp; Experience</strong></p><p>Experience in school or administrative systems an advantage.</p><p>Knowledge of Efficient Resource Planning (ERP) systems such as Technology One an advantage.</p><p>Current First Aid certificate and Working with Children&#39;s Check.</p><p><strong>Duties/Accountabilities:</strong></p><p><strong>FINANCE</strong></p><ol><li>Preparation and input of purchase orders in school based computer software, including ensuring quotes obtained, where required.</li><li>Collate, complete and organise information relating to staff, payroll, suppliers, bank accounts, invoices and census data for processing by Shared Service Centre (SSC).   </li><li>Assist the Shared Service Centre on any requests for information or clarification.   </li><li>Uploading payments to the school bank account(s) and process BPAY payments (where applicable).</li><li>Receipting and banking of cash/other receipts of monies.</li><li>Collating and liaising with the Parents and Friend’s Association (PFA) for documentation for processing in accounting system by SSC.</li><li>Undertake annual fixed asset stocktake for assets greater than $5k ensuring any assets and disposals of assets are advised to the SSC for update.</li><li>Understand and keep abreast re updates of the MACS Finance Procedures Manual and ensure procedures are followed throughout the year to ensure efficient annual audit process.</li><li>Process and reconcile any WorkCover claims.</li><li>Manage the financial component of Australian Sporting in Schools Grants and any other ad hoc grants as required.</li><li>Lodge the monthly BAS and IAS via the Australian Taxation Office online portal.</li></ol><p><strong>DEBT MANAGEMENT</strong></p><ol><li>Undertake billing for all student fees and curriculum fee accounts (where applicable). Arrange for Statement of Accounts to be sent out on a quarterly basis at a minimum. </li><li>Setup direct debits (credit cards and bank accounts).</li><li>Compile /input all relevant information into student data system at the start of the school year ensuring its accuracy for the annual billing of fees. Update student management system on an ongoing basis as changes occur.</li><li>Review relevant eSIS reports on a monthly basis and resolve any variances in a timely manner. </li><li>Undertake dealings with families on all fee queries and payment terms. Manage outstanding debtors and the School debt collection agency as necessary in liaison with the Principal.</li></ol><p><strong>ADMINISTRATION</strong></p><ol><li>Undertake the processing of School records on all sick leave data, update and provide accurate information to the Principal. </li><li>Administer Sick Bay and First Aid for students. Contact parents if medical assistance is necessary. </li><li>Support induction of new staff.</li><li>Liaise with the MACS School Business Manager as required.</li><li>Attend to any other duties as directed by the Principal or Deputy Principal.</li></ol><p><strong>OH&amp;S</strong></p><ol><li>Maintain Essential Services Management logbook.  Support the Principal in organising maintenance and repairs that are required.</li><li>Manage the Operoo database.  Update student and parent information, add new and delete forms.  Add and remove staff from the system.</li><li>Complete the online Mandatory Reporting module annually and any other professional learning required by MACS including, but not limited to, ICON, first aid and Operoo.</li></ol><p><strong>STUDENTS/ENROLMENT</strong></p><ol><li>Administer daily medication to students and maintain register.</li><li>Assist in childrens&#39; enrolment by taking enquiries on new enrolments, arrange and book school tours, collecting enrolment documentation and entering into eSIS.</li><li>Assist Principal with online declaration with census.</li></ol><p><strong>Application close Thursday 24th April at 5pm.</strong></p><p><strong>Applicants who have had experience in MACS Catholic schools preferred.</strong></p><p><i>The school reserves the right to interview and appoint a successful candidate before the closing date.</i></p><p> </p>
